Private Equity Copilot Adoption Accelerator

The Challenge: Building a Governed Path to Copilot Adoption

A private equity firm recognized the productivity potential of Microsoft 365 Copilot but needed to introduce it in a controlled, structured way. As a regulated financial-services organization, the firm wanted every employee to build a solid foundation before gaining access to advanced capabilities, balancing enthusiasm for AI with the governance and accountability its environment demands.

The organization identified several primary hurdles:

  • Governed Rollout: Drive all users through mandatory foundational training first, then progressively open up training on advanced features rather than enabling everything at once.
  • Sustained Engagement: Keep busy professionals moving through the content to completion instead of abandoning it partway through.
  • Completion & Accountability: Track who had finished, nudge those who had not, and demonstrate measurable progress to leadership.
  • Content Currency: Keep learning material accurate as Microsoft ships Copilot changes on a near-weekly cadence.

The Solution: A Customized Copilot Accelerator

Knowledge Accelerators (KA) partnered with the firm to implement a customized Copilot accelerator delivered as a managed program under a 12-month license. Rather than relying on generic instruction, the strategy centered on a branded, high-engagement learning experience tailored to how the firm’s employees actually work.

Throughout the pilot, KA iterated rapidly based on customer feedback, simplifying jargon-heavy videos, improving navigation back to the learning syllabus, and configuring completion reminders so the program fit the firm’s professionals from day one.

The solution included:

  • Branded Learning Portal & SSO: A firm-branded Copilot environment with single sign-on for frictionless access.
  • Mandatory Foundations Campaign: A sequenced fundamentals campaign delivered as eight emails over four weeks, with branded completion certificates.
  • Adoption Analytics via Microsoft Graph: Graph integration to track enrollment, completion, and Copilot consumption in real time.
  • Dedicated Learning Campaign Manager: A named KA manager configuring campaigns, running pilot remediation, and advising on rollout cadence.
  • Self-Service Library & Accelerators: A 700+ article library, mini-courses, and ongoing productivity accelerators to support continued learning beyond the core campaign.
  • Evergreen Content: A dedicated content team monitoring Microsoft's roadmap and targeted releases to keep material current.

The Results: Stronger, Measurable Copilot Engagement

The customized Copilot accelerator drove measurable gains in day-to-day usage across the organization, reinforcing the value of a structured, governed adoption approach. Following full rollout, both overall Copilot usage and Copilot Chat usage approximately doubled. These results point to strong adoption across the organization, with the most significant gains in the Copilot Chat experience emphasized in the training.

Measurable lift in Copilot usage:

  • Overall Copilot usage increased by 94% per day.

  • Copilot Chat usage—the primary focus of the training—increased by 100%.

  • Leadership also gained real-time visibility into enrollment, completion, and Copilot usage through Microsoft Graph integration, enabling stronger follow-up and a more governed rollout.

What's Next

Next, the firm will expand beyond foundations with advanced topics, self-service learning, and continuous alignment to evolving Copilot capabilities.

  • Roll out additional structured learning campaigns under the existing program, sequenced after the foundations campaign completes.
  • Expand into the advanced topics the user base is requesting, notably AI agents and Copilot Chat.
  • Activate self-service library enrollment and productivity accelerators to sustain engagement beyond the mandatory training.
  • Continue evaluating Microsoft's evolving Copilot licensing and release channels to align the program with new capabilities.
