The Challenge: Stalled Microsoft 365 Adoption in a Global Workforce

A global healthcare technology company, spanning over 70,000 employees, was struggling to maximize the value of their investment in Microsoft 365. Despite the suite's powerful capabilities, Microsoft 356 user adoption remained low, creating significant hurdles for productivity and collaboration across their massive, global workforce.

The company faced several critical issues that needed immediate attention:

  • Low User Engagement with Existing Training: The traditional Microsoft 365 end user training methods were failing to capture employee interest and drive active participation, resulting in poor feature utilization.

  • Need for a Scalable Solution: The size of the organization demanded a scalable strategy for Microsoft 365 end user training and adoption.

  • Inefficient Workflows and Reduced Productivity: A lack of consistent, effective training meant that employees were not leveraging M365 tools to their full potential, hindering company-wide Microsoft 365 user adoption.

The Solution: A 6-Week Proof of Concept (POC) that Transformed Microsoft 365 End User Training

To directly address these challenges, Knowledge Accelerators partnered with the client to implement a targeted, six-week Proof of Concept (POC). This strategic engagement was designed to test a new, measurable training model on a test group of 1,270 users, focusing on delivering relevant, just-in-time content to boost Microsoft 365 Adoption.

The core of the solution focused on three key strategic areas for improving Microsoft 365 end user training:

  • Data-Driven Training: Instead of a generic approach, the team first analyzed the client's existing OneDrive usage data. This insight allowed them to tailor the Microsoft 365 training program specifically to the needs and skill gaps of the users, ensuring the content was immediately relevant and actionable. The training materials included engaging micro-learning videos and traditional training modules.

  • Enhanced Data Insights: The POC implemented advanced reporting tools. These tools gave the company crucial, objective data insights into user engagement and Microsoft 365 user adoption patterns.

  • Measurable Impact: By targeting the training and implementing robust reporting, the company was able to test the new model, prove its measurable impact on workforce skills, and confidently project its positive influence on productivity and M365 utilization.

The Results: Dramatic Increases in Microsoft 365 User Adoption

The success of the focused, six-week POC was undeniable. It not only demonstrated the effectiveness of the new adoption model but also secured a long-term commitment from the organization for full workforce Microsoft 365 user adoption.

The immediate quantitative results observed in the test group were highly impactful:

Microsoft End-User Adoption Increases:

  • 42% Increase in Microsoft OneDrive File Viewing & Editing.

  • 36% Increase in Microsoft OneDrive File Sharing.

Turning Non-Users into Engaged Employees (Active Starters):
The POC successfully activated non-users across critical M365 collaboration tools, showing the power of effective Microsoft 365 end user training:

  • 55% of participants started File Viewing and Editing Files.

  • 64% of participants started Sharing Files in OneDrive.

  • 17% of participants increased their Microsoft Teams Activity.

  • 10% of participants started using Microsoft Teams Chats.

Finally, a testament to the quality and relevance of the new training model: 98% of the participants rated the Microsoft 365 training program good to excellent.

This case study proves that a strategic, data-driven approach to Microsoft 365 end user training, even in a short-term POC, can overcome large-scale adoption challenges and drive dramatic, measurable increases in Microsoft 365 user adoption.
